SAQA Shipping Guidelines

Please read this SAQA Journal article for more details on shipping internationally and preparing your artwork.

SAQA Global Exhibitions Shipping Policy

Each artist is responsible for following the shipping instructions included in the Artist Instructions sent upon acceptance. SAQA does not pay for shipping of artwork to our Exhibition Management Center in Ohio. SAQA will cover shipping costs to the venues and back to the artist when the final exhibition closes.

Most exhibits require that work be able to be rolled, folded, collapsed or otherwise able to travel between venues in one of SAQA’s traveling crates along with the other works in the exhibit. SAQA asks that artists engineer their piece(s) to break down or fold so they can fit into the space allotted. Note that this does not apply for SAQA calls which allow for 3D pieces.

When artwork does not fit in a SAQA’s shipping crate SAQA may require that the artist provide a suitable container for shipping the work from venue to venue. The artist may be asked to pay a portion of the additional shipping fees. If a work is selected by the juror, SAQA will work with the artist to determine the amount of the artist’s liability and the artist’s liability will be limited to the agreed amount.

Non-US artists can request reimbursement for a portion of their shipping costs when sending artwork for a SAQA Global Exhibition. Do not use an ATA carnet to ship work to SAQA for global exhibitions. 1) a global exhibition lasts over 3 years.  A carnet expires after 1 year, 2) SAQA does not return individual artwork with carnets, 3) you cannot offer your artwork for sale if it enters the US under an ATA carnet.

For questions regarding the shipping policy, please contact William Reker at exhibitions@saqa.com.

Parcels must be sent in a sturdy box with a delivery tracking number. Any package sent through the postal system must have signature required upon delivery. Note: packages sent via FedEx, FedEx Ground, or UPS do not require signature upon delivery.

We recommend placing your quilt rolled on a tube, in a tightly sealed plastic bag, and shipping in a sturdy cardboard box.

PLEASE MAKE SURE THE ARTIST’S NAME (NOT JUST THE SHIPPER’S NAME) IS VISIBLE ON THE OUTSIDE OF THE BOX ALONG WITH THE NAME OF THE EXHIBITION.

NOTE: DUE TO THE LARGE NUMBER OF QUILTS RECEIVED AND SHIPPED, SAQA WILL NOT RETAIN YOUR ORIGINAL SHIPPING CONTAINER OR MATERIALS.
